The forecast is updated upon release, not on the reporting date.

PROBIS Control bridges the gap between events and analysis: approvals, addenda, and construction progress are immediately incorporated into cost reports, forecasts, cash flow, and liquidity. The monthly report is thus simply a reflection of what you already know.

OverviewCost Report · Invoices · Forecast+

The current cost situation: budget, work orders, invoices, and cost forecasts—all on a single interface, recalculated with every approval. The invoice workflow, detailed reports, and forecast calculations all access the same data set.

CAPEX/OPEXTen-Year and Rolling Budgets+

Same methodology, longer time horizon. Plan investment and operating budgets at the property, sub-area, or project level, using ten-year or rolling models. Projects are recorded, prioritized, approved, and released via a workflow.

Cash flowPayments Based on Contract Terms+

The payment schedules are derived from your contracts: retention amounts, installment agreements, payment deadlines, and approved amendments automatically shape the payment curve, which is then adjusted based on incoming invoices. Analysis at the project, phase, or portfolio level.

LiquidityDrawdowns · Coverage · Shortfall+

Equity and debt capital calls are modeled against projected disbursements. The funding coverage is updated, and any shortfall is automatically flagged. The “equity first,” pro rata, or individual call sequences are in accordance with the loan agreement.

Analysis

Any view on demand—without manual compilation.

One data model, different perspectives

Three weeks flying blind. Every month.

Today

  • —The cost report is compiled manually each month using conflicting sources. Decisions are made based on yesterday’s figures.
  • —Invoices are piling up in mailboxes and on desks. No one knows what’s been waiting there or for how long. Cash discounts and payment deadlines are expiring.
  • —The cash flow forecast is a separate table and lags behind. Funding gaps only become apparent when funds are drawn down.
  • —The discrepancy becomes apparent three weeks after the decision. By then, the contract has already been awarded.

With PROBIS

  • The cost report is live: Set your filters, and you're done. The same number for everyone involved.
  • Every invoice has a status, an assigned person, and a processing time. Bottlenecks become apparent before deadlines are missed.
  • Calculate costs, cash flow, and liquidity based on the same contracts. You'll see shortfalls months before they occur.
  • The variance appears along with its origin and the cause. You can still re-post the job, reschedule, or assign it differently.

Invoice approvals with immediate impact on the budget and forecasts

  • Invoice automatically recognized and assigned to a contract and cost group
  • Multi-level approval process with roles, teams, and triggers; budget and forecast impact visible before every decision
  • Batch runs for routine calculations; verification time is factored into the exceptions
  • Invoice approval record with complete audit history, verifiable for banking, auditing, and controlling purposes
  • Status up to "Paid," time in system per user, cash flow, and liquidity are updated with each approval

Cash Flow · Liquidity · CAPEX/OPEX

Three views, one cost reality.

Cash flow, liquidity, and the ten-year plan can otherwise quietly diverge across three separate spreadsheets. In PROBIS, all three are based on the same contracts and approvals.

Multi-year investment and operating budgets, all on the same platform

  • Multi-year and rolling budgets with annual reconciliation
  • Track the capture, prioritization, and approval workflow, including deadlines and escalation
  • Capital allocation analysis based on ROI, urgency, or value retention potential
  • Seasonal and cyclical patterns in spending throughout the fiscal year

Case Study · Data Center

A $172 million data center, completed within 2% of budget.

Google's data center in Hanau was developed by the NDC-GARBE joint venture, approximately 12 to 16 miles from the DE-CIX internet exchange in Frankfurt. The four-story facility covers approximately 107,600 square feet and handles approximately 15 MW of IT load, with a capital expenditure of approximately USD 172 million. PROBIS was involved from the pre-construction phase, managing quantity surveying, pro forma analysis, and cost control from the outset, ensuring that commitments and expenditures were tracked against the approved budget throughout the project. The project was completed on schedule and came in within approximately two percent of its approved budget.

Case Study · Data Center

A data center with a total investment of 150 million EUR—completed within 2% of the budget.

Google’s data center in Hanau was developed by the NDC-GARBE joint venture and is located approximately 20 to 25 km from the DE-CIX Internet exchange in Frankfurt. The four-story facility covers approximately 10,000 m² and has an IT capacity of about 15 MW, with a total investment of approximately 150 million EUR. PROBIS was involved from the preparatory phase onward. Quality assurance, pro forma analysis, and cost controlling were in place from the very beginning, allowing commitments and expenditures to be continuously reconciled with the approved budget throughout the project’s duration. The project was completed on schedule and closed with a variance of approximately two percent from the approved budget.

Case Study · Bank Monitoring

Five banks, up to 1,200 files, a reliable database.

The East Side Tower is a 142-meter-tall, 38-story high-rise in Berlin-Friedrichshain, designed by BIG, that houses Amazon’s European headquarters. Construction monitoring is being conducted in PROBIS on behalf of a consortium consisting of Deutsche Pfandbriefbank, Commerzbank, Helaba, Berlin Hyp, and Berliner Sparkasse. A project of this size can involve 20 to 100 participants and generate up to 1,200 files. Project-Clock provides the banks with centralized fund tracking, real-time risk detection, and AI-generated reports instead of disconnected spreadsheets.

Frequently Asked Questions

How does the invoice approval process work, specifically?

The invoice is uploaded or imported; its data is automatically recognized and assigned to a contract and a line item. It then goes through the workflow configured for that contract—which may be single- or multi-stage, with assigned teams. Approvers can view the amount, contract status, and budget impact before making their decision. Large volumes of standard invoices can be processed in a batch.

Can external parties, such as banks or financial controllers, be granted access?

Yes. Permissions are role-based and limited to the respective area. A bank or an external auditor is granted a defined view—typically fund disbursements, construction progress, and cost status—without access to the rest of the project.

Does the cash flow forecast update automatically?

Yes. It is derived from contract terms, the construction schedule, invoices received, and open items, and changes as soon as these factors change—not only when someone rebuilds the model.

What is the difference between Control and CAPEX/OPEX?

Same framework, different scope. Control manages the costs of a project during implementation; CAPEX/OPEX manages the multi-year capital and operating budgets for properties in your portfolio. Many customers use both: Projects are created from the CAPEX plan and then managed in Control.

Can we generate reports based on our own cost centers instead of DIN 276?

Yes. The data cube contains all attributes for each transaction. You can filter and analyze data by DIN 276 cost group, cost center, component, specialist planner, construction phase, contract, or custom fields—usually in combination.
