Where Procurement Processes Lose Money Today

Today

  • —Bids are compared in an Excel spreadsheet that is created specifically for a single contract award and then discarded afterward.
  • —“Is that a good price?” is answered based on experience and gut feeling.
  • —Add-ons are agreed upon during meetings and are not reconciled with the budget until weeks later—if at all.
  • —The outstanding balance—that is, the amount actually ordered—is compiled manually by someone every month.

With PROBIS

  • Each proposal is evaluated using the same evaluation matrix, and the matrix can be reused.
  • Prices are compared with benchmark figures from actual completed projects, broken down by trade and region.
  • An addendum is a workflow object: submitted, priced, reviewed, approved, or rejected—with a visible impact on the budget before anyone signs it.
  • The commitment is always up to date because it is generated directly from the awards.

Procurement processes, invoice verification, and batch approvals are handled in the same system as CAPEX planning, budget control, and fund tracking. Frequently Asked Questions

Can general contractor and individual trade awards be used within the same project?

Yes. Award units can be structured by sections for general contractor services and by bid specification items for individual awards—all within the same project. This is particularly important when the award strategy changes during the course of a project.

How does the benchmark comparison work?+

Incoming bids are compared with benchmark figures from completed projects—adjusted for region, property type, and the Federal Statistical Office’s construction price index. Unusually high or low trade prices are flagged in this way and are not accepted without review.

Will PROBIS replace our procurement platform?+

Not necessarily. Tender documents can be transferred to external procurement platforms via GAEB, and the bids received can be retrieved for evaluation. The platform your bidders are already using will remain in place.

How are addenda approved?+

Through a configurable workflow: submitted, priced, reviewed, and approved or rejected by designated roles—every step is logged. The budget impact is calculated and displayed before the approval decision is made, not after.

Let's see how much of the budget hasn't been allocated yet?+

Yes—by cost category and for the project as a whole. Comparing the unallocated budget with the progress of construction is one of the earliest reliable indicators that a project is getting out of hand.

Please provide us with a contract award unit that you will soon be putting out to bid.

We'll show you the evaluation matrix and benchmark comparison based on your own package.
